Managing Company Holidays

 

  1. Company holidays are managed in Admin by Playbook Administrators.
  2. In Admin, resources are assigned to a department, and the department is assigned to a group, thereby associating the resource with a group. Click here for a refresher on Groups.
  3. If all users have the same company holidays, a group can be used to manage them, and custom calendars are not needed.

  4. Company holidays are created in the group's calendar which is then inherited by all resources in the group. Company holidays are managed in the Working Days tab.

  5. Right-click on the group, then click Calendar Properties.

  6. On the Days Off / On page, click Add, and enter the Name of the company holidays and the From/To dates.

  7. Company holidays are inherited by all resources in the Group.

  8. If all users do not have the same company holidays, e.g., resources are in the UK, US, Germany, New Zealand, France, India, etc., use custom calendars.
  9. To create a custom calendar, click Add in the Working Days tab.

  10. Name the custom calendar. Change the default values for Availability, Capacity, and Workweek as needed, then click Ok.

  11. The custom calendar is shown in the list of calendars.

  12. To enter company holidays for the custom calendar, e.g., US holidays, right-click on the custom calendar, then click Calendar Properties.

  13. On the Days Off / On page, click Add, and enter the Name of the US company holidays and the From/To dates.

  14. Lastly, for each resource, specify which custom calendar is to be inherited. For example, right-click on Bob, then click Calendar Properties (Bob's calendar).

  15. Specify which custom calendar is to be inherited by the resource. For example, specify the US custom calendar for Bob.

  16. Bob is now inheriting company holidays from the US custom calendar. He is also inheriting the default values for Availability, Capacity, and Workweek.

  17. Here is an example of resources inheriting from different custom calendars, each with different company holidays.

  18. Tip: calendar entries can be copied and pasted from one Group/Custom calendar to another.
